How automation saves time, reduces cost, and improves quality for Recommended Temple Worker management—from initial onboarding through full lifecycle changes.
Temple Tools replaces highly manual, fragmented, and error‑prone processes for Recommended Temple Workers (RTWs) with centralized, automated, and transparent workflows—covering both onboarding and full lifecycle management. By eliminating repetitive email exchanges, paper forms, personal tracking files, and single‑person dependencies, Temple Tools significantly reduces employee time spent per RTW, lowers operational risk, improves the spiritual quality of interviews and onboarding, and streamlines post-onboarding change management including shift changes, leaves of absence, evaluations, and releases.
Note on FTE Savings: The documented FTE savings of 2+ positions (1 in Gilbert, 1/2 in Dallas, 1/2 in McAllen) reflect RTW Onboarding efficiency only. Additional savings from Post-Onboarding Lifecycle Management are significant but not included in these figures.
Understanding the transformation from manual processes to automated efficiency
Six core capabilities that transform temple worker management
RTWs are managed in a single, shared system with status visible to all authorized employees. No dependency on personal email inboxes or local files.
RTWs provide required information through structured digital forms with mandatory fields ensuring completeness and accuracy. Data is collected once and reused.
Shift needs from TIS are reflected based on current data. RTW availability is matched automatically with system-managed wait lists continuously evaluated.
Administrative details are completed before the interview, allowing approximately 90% of interview time to focus on spiritual discussion and guidance.
Any authorized employee can look up RTW status, answer questions, and continue processing if someone is unavailable. No single-point-of-failure.
All change management processes for Temple Workers are fully managed within Temple Tools, eliminating paper forms and ad-hoc communication.
*Savings reflect RTW Onboarding efficiency only. Post-Onboarding Lifecycle Management savings are additional.
Handling high-volume periods without staffing strain
During new temple openings or boundary changes, temples must process hundreds or even thousands of volunteers in a compressed window. Manual processes typically cause backlog growth, delays, and extreme staffing strain.
The McAllen Temple demonstrated the system's power during a major launch. The temple achieved full staffing readiness several months earlier than anticipated by utilizing an earlier version of Temple Tools. This enabled the limited staff on hand to manage the entire process efficiently without the need for additional volunteers—eliminating the extreme staffing strain that typically accompanies hundreds of simultaneous applications.
A streamlined six-step process from initial contact to finalization
When a new RTW appears in TIS, Temple Tools automatically creates a record and sends email and text message invitations via a Toll Free Number to complete an online questionnaire. Text messages generate quicker responses compared to email alone. Status is set to "Questionnaire Sent" with automated reminder tracking.
The questionnaire collects all required information. RTWs select availability using up-to-date shift availability displayed in Temple Tools, filtered by worker type and color-coded by need level. (Coming soon: Enhanced statistics engine will provide additional visibility into current availability, hold list counts, and movement requests for more informed placement decisions.)
Employees review selected shifts, verify availability, and select the shift with greatest current need. RTWs selecting only full shifts are automatically moved to the Hold List with date tracking until space becomes available.
Temple Tools automatically sends interview sign-up links via email and text from a Toll Free Number, generating faster responses than email alone. RTWs are directed to Microsoft Office Bookings connected to presidency calendars with only available slots shown.
Presidency members see filtered views of today's and upcoming interviews. All RTW information is in one place with current shift needs, enabling informed decisions with 90% focus on spiritual experience.
Employees enter finalized information into TIS. The Temple Tools record preserves the full history of the request from initiation through completion.

Managing ongoing changes throughout a Temple Worker's service lifecycle
Temple Tools provides a centralized, role-based system to manage all Temple Worker change management processes. Access is controlled by role, shift, and position, ensuring appropriate visibility for presidency members, Shift Coordinators, and Assistant Shift Coordinators. Temple Tools acts as the system of record for the full lifecycle of each request—from initiation through decision and final entry into TIS—eliminating paper forms, ad-hoc communication, and local tracking files.
Request and approve movement between shifts with full visibility into availability.
Track extended leave requests with automated notifications to stakeholders.
Initiate and track release processes with proper documentation.
Manage performance evaluations through structured workflows.
Promote to Shift Coordinator, Baptistry Coordinator, and other positions.
Note: This is one example process. All post-onboarding change types (Leave of Absence, Release, Evaluation, Position Changes) follow similar structured workflows within Temple Tools.
A Temple Worker communicates a shift change request to an Assistant Shift Coordinator or Shift Coordinator. The coordinator securely logs into Temple Tools and initiates a Shift Change request. All required information is captured in a single structured form:
The request is submitted with one click.
Upon submission, the request enters a Review state. All presidency members can see the request in their Temple Tools view. Presidency members review the request and make a decision within Temple Tools.
Based on the presidency decision, the request status changes to one of the following:
In the Entry state, a temple employee enters the approved change into TIS. The Temple Tools record preserves the full history of the request from initiation through completion.
An overhaul of the existing statistics engine is currently in production to provide a comprehensive decision matrix for shift availability and placement. The enhanced system will display:
This enhanced visibility will provide presidency members with a more impactful decision matrix for both RTW onboarding and post-onboarding change management.
