RTW Record Creation & Initial Contact

When a new RTW appears in TIS, Temple Tools automatically creates a record and sends email and text message invitations via a Toll Free Number to complete an online questionnaire. Text messages generate quicker responses compared to email alone. Status is set to "Questionnaire Sent" with automated reminder tracking.

Online Questionnaire & Availability Selection

The questionnaire collects all required information. RTWs select availability using up-to-date shift availability displayed in Temple Tools, filtered by worker type and color-coded by need level. (Coming soon: Enhanced statistics engine will provide additional visibility into current availability, hold list counts, and movement requests for more informed placement decisions.)

Shift Review & Hold List Management

Employees review selected shifts, verify availability, and select the shift with greatest current need. RTWs selecting only full shifts are automatically moved to the Hold List with date tracking until space becomes available.

Temple Tools automatically sends interview sign-up links via email and text from a Toll Free Number, generating faster responses than email alone. RTWs are directed to Microsoft Office Bookings connected to presidency calendars with only available slots shown.

Shift Change Process With Temple Tools

Note: This is one example process. All post-onboarding change types (Leave of Absence, Release, Evaluation, Position Changes) follow similar structured workflows within Temple Tools.

Initiation

A Temple Worker communicates a shift change request to an Assistant Shift Coordinator or Shift Coordinator. The coordinator securely logs into Temple Tools and initiates a Shift Change request. All required information is captured in a single structured form:

  • Temple Worker information
  • Current shift
  • Requested shift(s)
  • Reason for the request

The request is submitted with one click.

Review State

Upon submission, the request enters a Review state. All presidency members can see the request in their Temple Tools view. Presidency members review the request and make a decision within Temple Tools.

Decision Outcomes

Based on the presidency decision, the request status changes to one of the following:

  • Approved: Temple Tools automatically sends notification emails to the Shift Coordinator of the Temple Worker's current shift and the Shift Coordinator of the shift the Temple Worker will move to. The request advances to the Entry state.
  • Hold: The requested shift is currently not available. The Temple Worker can continue serving on their current shift while waiting for an opening on the requested shift. The request remains in Temple Tools and will be reviewed when space becomes available.
  • Release Required: The release process is initiated within Temple Tools and required notifications are sent.

TIS Entry and Completion

In the Entry state, a temple employee enters the approved change into TIS. The Temple Tools record preserves the full history of the request from initiation through completion.

Coming Soon: Enhanced Statistics Engine

An overhaul of the existing statistics engine is currently in production to provide a comprehensive decision matrix for shift availability and placement. The enhanced system will display:

  • Current availability on each shift
  • Number of people on hold for each shift
  • Movement requests — how many requested to move to or away from each shift

This enhanced visibility will provide presidency members with a more impactful decision matrix for both RTW onboarding and post-onboarding change management.
